Overview
Connect your Google Drive to AiSU to automatically sync and index documents. Changes to your Drive are reflected in your AI's knowledge base.
Prerequisites
- AiSU account with active subscription
- Google account with Drive access
- Admin rights for your organization (for shared drives)
Connection Setup
1. Navigate to Connections
In your AiSU dashboard:
- Go to Knowledge → Connections
- Click Connect Google Drive
2. Authorize Access
You'll be redirected to Google's authorization page:
- Select your Google account
- Review the permissions AiSU requests
- Click Allow
Permissions Explained:
- View files: Needed to read document content
- View metadata: Needed to track changes
- No modification: AiSU cannot edit or delete your files
3. Select Folders
After authorization, choose which folders to sync:
My Drive:
- Browse your personal folders
- Select specific folders to include
- Click Add to Sync
Shared Drives:
- View drives where you have access
- Select entire drives or specific folders
- Click Add to Sync
4. Configure Sync Settings
Sync Frequency:
- Real-time (recommended)
- Every 4 hours
- Daily at midnight
- Manual only
File Types:
- Documents (.docs, .txt, .pdf)
- Spreadsheets (.xlsx, .csv)
- Presentations (.pptx)
- Images (.png, .jpg) - OCR enabled
Size Limits:
- Individual files: up to 50MB
- Total storage: based on your plan
Managing Connections
View Sync Status
Check sync progress in Knowledge → Connections:
- Last synced: Timestamp of last successful sync
- Documents: Number of indexed documents
- Status: Syncing, Complete, or Error
Pause or Resume
Temporarily pause syncing:
- Click on the connection
- Click Pause Sync
- Resume anytime with Resume Sync
Disconnect
To remove a connection:
- Click on the connection
- Click Disconnect
- Confirm removal
Note: Disconnecting does not delete already-indexed documents from AiSU.
Troubleshooting
Connection Failed
Issue: Authorization fails or redirects incorrectly.
Solutions:
- Clear your browser cache and cookies
- Try a different browser
- Disable browser extensions temporarily
- Ensure pop-ups are allowed for aisu.ai
Files Not Syncing
Issue: Documents aren't appearing in AiSU.
Solutions:
- Check that files are in selected folders
- Verify file types are supported
- Ensure files aren't larger than 50MB
- Review sync status for errors
Permission Errors
Issue: Can't access certain folders or shared drives.
Solutions:
- Verify you have view access in Google Drive
- For shared drives, ensure you're a member
- Re-authorize the connection if permissions changed
Sync Delays
Issue: Changes in Drive take too long to appear.
Solutions:
- Check your sync frequency setting
- Trigger a manual sync
- For critical updates, upload directly to AiSU
Security and Privacy
Data Encryption:
All data in transit is encrypted using TLS 1.3.
Access Controls:
AiSU respects your Drive's sharing settings. Documents only visible to authorized users.
Compliance:
SOC 2 Type II certified. GDPR and CCPA compliant.
Best Practices
- Start Small: Connect one folder first, verify it works, then expand
- Use Shared Drives: For team access and better organization
- Regular Reviews: Periodically review which folders are synced
- Monitor Usage: Check sync logs for errors or issues
- Document Naming: Use clear, descriptive names for better AI retrieval
